PANALPINA ROMANIA is looking for the position of an IT Administrator for SubCoM-Tool (Vendor Administration Back-office) that is located in Bucharest office.

IT Administrator for SubCoM-Tool should consider the following aspects:

Purpose of the position:

Maintain the primary subcontractor management tool used in Europe and APAC

Ensure optimal usage of internal as well as external systems in place

Drive continuous improvement and enhancement of the tool

Keep special focus on managing and adherence of rules and guidelines for subcontractor management for all vendor categories managed in the tool

Support subcontractor Asses & Approve process in order to ensure Global, European & APAC rules and guidelines


Responsibility (always in accordance with the instructions/guidelines from the Regional Head Offices (Europe & APAC):

In charge for adherence of defined subcontractor management processes and documentation in the unique tool

Maintain regional binding policies, guidelines and standards for all vendor categories managed

Administration of subcontractor management tools

Key interface between the tools and users, including user management, user support and interactions within PA structure (e.g. SAP Vendor Team, FIN)

Acts as interface towards the subcontractors in regards to documentation demands and follow up, ensuring the points 1 & 2 in the tools

Creates and updates of data (e.g. SAP)

Ensure KPI reporting

In charge of the quality management within the tools

Understand the tools, the (infra)structure and is capable to further develop and update the tools

Develop on demand reporting, additional modules within the tool

Process understanding in order to cope with Panalpina Integrated Management System, SOP’s, PRO’s

Become an expert on tool usage and administration

Administrate tool environment

Monitor tool activity

Define and configure various reports based on users needs

Provide feedback for new functionalities and monitor the implementation

Support end user on their daily tasks

Essential Requirements:

Good spoken and written English , other languages e.g. German is a plus

Good knowledge in Excel

Communication ability - mainly outlook (e-mail)

Working knowledge of SQL Programming - is a plus

Experience with use IT tools to satisfy business needs

Analytical person, accurate and organized

Strong problem-solving skills

Attention to details

Good communication skills

Meticulous and able to multi-task

Ability to work under pressure, proactive;

Ability to identify appropriate solutions;

Ability to work in a team;

Responsible and result-oriented person

Desirable Requirements:

Previous experience working in multinational corporation

Ideally forwarding background / knowledge

Ideally IT degree

Computer Literacy:

MS office skills
